Organizational Setting
The Division of Budget and Finance manages the financial resources essential for full implementation of the IAEA’s scientific and technical programmes. The Division provides financial services and solutions for programme budgeting, treasury, payments, payroll, financial accounting and reporting to support the IAEA’s mandate.
Main Purpose
- As a member of the team led by a Unit Head, the Finance Assistant is responsible for the day-to-day verifying, follow up and processing of payments such as payments to suppliers and other contractors, payments of salaries and other benefits and entitlements to staff, payments of all travel and meetings related expenses.
Functions / Key Results Expected
- Verify and process payments to suppliers and other contractors, payments of salaries and other benefits and entitlements to staff, payments of all travel and meetings related expenses in an efficient and correct manner within the specified deadlines in accordance with established rules and procedures and agreed terms.
- Perform daily follow-up of pending financial transactions in the Accounts Payable module and take the necessary actions to resolve any exceptions such as invoices on hold or bring cases to the attention of higher level staff for escalation or resolution.
- Assist with the reconciliation of accounts payable/receivable accounts and take the necessary actions to clear outstanding items by preparing the adjusting vouchers.
- Provide appropriate responses promptly to standard queries on payments and other financial transactions from staff, suppliers and other counterparts.
Qualifications, Experience and Language skills
- Completed secondary education. Certificate/Coursework/Training in accounting, finance or directly related fields highly desirable.
- A minimum of five years of relevant experience in finance, accounting or directly related fields, some of which in an international organization.
- Excellent oral and written command of English and English. Knowledge of other official IAEA languages (Arabic, Chinese, French, Russian and Spanish) is an asset.
- Administrative skills test to IAEA standard may be part of the process.
